We are looking for an experienced, highly-organised, and proactive Facilities Coordinator to oversee the maintenance, vendors, contractors, security and operational excellence of our client's premises based in South Dublin.
You will be leading our onsite employees and shaping our facilities function by ensuring that all facilities are safe, functional, clean and well maintained, while liaising with both internal management, employees, external contractors and maintenance teams. Our ideal facilities coordinator will have a strong background in facilities, excellent vendor management skills, an understanding of health and safety regulations, knowledge of PSA security standards and the ability to respond effectively to a wide range of maintenance issues. This role is crucial to protecting our client's assets and supporting business operations, while encouraging a professional and positive place to work for our employees and client.
Key Responsibilities:
* Oversee the day-to-day maintenance and repair of all facilities, including buildings, grounds, and equipment.
* Coordinate with external contractors and service providers for all planned maintenance (e.g., electrical, plumbing, fire safety, security systems, cleaning, water temperature checks).
* Conduct regular inspections of all sites to identify and address maintenance needs proactively.
* Manage all facilities-related work orders, ensuring they are completed efficiently and to a high standard in line with the current SOPs.
* Respond promptly to emergency maintenance requests and coordinate the necessary response.
* Ensure all facilities are compliant with Irish health and safety regulations, including fire safety, building codes, security and workplace safety standards.
* Conduct regular health and safety audits and risk assessments.
* Maintain accurate records of all maintenance work, inspections, and safety documentation.
* Implement and enforce all company policies and procedures related to facilities, security and safety.
* Source and manage relationships with a network of reliable local contractors and service providers in the Dublin area and surrounding regions.
* Negotiate contracts and service level agreements (SLAs) with vendors to ensure cost-effectiveness and quality of service.
* Monitor and control the facilities budget, ensuring all expenditures are approved and tracked accurately.
* Act as the primary point of contact for all facilities-related issues for store managers and staff.
*Oversee provision of the security staff and cleaning operatives.
* Managing rosters for the security staff on site.
Experience
* Minimum of 2+years of experience in facilities or similar role
* Proven experience managing external contractors and vendors.
* Demonstrated experience in budget management and cost control.
Skills
* Strong working knowledge of building systems and maintenance processes (e.g., electrical, plumbing and security).
* Excellent organisational and time-management skills, with the ability to prioritise a heavy workload.
* Outstanding problem-solving abilities and a proactive, "can-do" attitude.
* Strong communication and interpersonal skills, with the ability to build effective relationships with vendors and internal teams.
* Meticulous attention to detail and a commitment to high standards.
* Proficient in Microsoft Office Suite and facilities management software is a plus.
Qualifications (Desirable)
* Relevant certification in Facilities Management, Property Management, or a related field.
* Strong knowledge of Irish Health and Safety legislation.
