Receptionist – Community Management Company
Location: Tucson, AZ
Position Type: Full-Time / In-Office
Reports To: Office Manager / Community Association Manager
Position Summary
The Receptionist is the first point of contact for homeowners, vendors, and visitors. This position plays a key role in providing exceptional customer service, handling administrative tasks, and supporting the community management team to ensure smooth day-to-day office operations.
Key Responsibilities
- Greet and assist homeowners, board members, vendors, and guests in a professional and friendly manner.
- Answer, screen, and route phone calls and emails to the appropriate staff members.
- Respond to general homeowner inquiries and provide accurate information.
- Receive and process payments, architectural applications, and other community documents.
- Maintain organized electronic and paper filing systems.
- Prepare correspondence, notices, and community mailings as directed.
- Support the management team with administrative tasks such as data entry, scanning, and scheduling.
- Manage incoming and outgoing mail, deliveries, and office supplies.
- Maintain a clean and welcoming front desk and lobby area.
- Perform other duties and projects as assigned.
Qualifications
- Previous receptionist or administrative experience preferred.
- Excellent verbal and written communication skills.
- Friendly, professional, and customer-service oriented.
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to handle multiple tasks in a busy office environment.
- Dependable, punctual, and able to work well in a team setting.
