HR Administrative Assistant

Act as a first point of contact for all HR administration queries and support the HR Manager with all administration tasks.

Oversee and administer starters and leavers process
Set up Personnel files
Enter Personnel Details into HR Database (TMS)
Liaising with Accounts, check weekly clocking hours for staff members for payroll preparation, ensuring that all hours are correct.
Update and maintain employee Contact list and TMS in respect of all changes
Send reminders to managers re the probation reviews & appraisals
Receive and file probation reviews
Reference Checks
Sit in and conduct interviews as appropriate.
Place jobs on Job Boards & website
Co-ordinate Reward & Recognition programmes
Send letter and vouchers to manager/ employee
Receive and file medical certificates
Receive and file return to work interviews and escalate information for any further actions
Produce and compile Organisational charts for Newpark Hotel
Arrange for flowers/wreaths to be delivered
Filing / Archiving
Record minutes of various meetings
Draft employee letters, including confirmation of employment, probation, transfer, promotions
Assist in the setting up of new procedures/HR software programmes
Liaise with HOD’s in relation to training
General Administration and Adhoc Duties
KEY COMPETENCES REQUIRED
Proficiency in MS Suite
Must be a team player
High Level of attention to detail
Strong Organisational skills
Excellent communication skills both verbal & written
Customer focused
Ability to multi-task
Initiative and pro-active approach to work
Positive and enthusiastic “can do” attitude
Ability to think innovatively
Ability to prioritise duties
Ability to work to tight deadlines

Confidentiality is a key component of the role and all HR related matters must be treated with the upmost discretion and sensitivity.

Hours of work: Monday to Friday 8.30 to 5 pm

Job Type:Full time 40 hours

Pay: €30,600.00-€31,200.00 per year
