About the Role
We are seeking a proactive and detail-oriented Human Resources Specialist to lead and manage daily HR operations for our team, which includes both remote and on-site employees across multiple states. This is a hands-on role that requires a strong understanding of HR best practices, multi-state employment regulations, and the ability to support a distributed workforce in a fast-paced environment.
The ideal candidate is an experienced HR generalist who can balance strategic thinking with operational execution. You will play a key role in maintaining compliance, fostering a positive workplace culture, and ensuring that employees receive consistent support across all HR functions. Experience in healthcare, veterinary services, or field-based industries is a strong asset.
What to expect in this role
Employee Relations
- Serve as a trusted resource for employees and managers, particularly those working remotely
- Address and document employee concerns, performance issues, and workplace conflicts with professionalism and discretion
- Support a respectful and inclusive work environment through clear communication and fair practices
Onboarding & Offboarding
- Coordinate remote onboarding for new hires across multiple states
- Ensure smooth transitions during offboarding, including exit interviews and system access updates
- Maintain consistency and compliance throughout the employee lifecycle
Benefits Administration & Education
- Manage enrollment and administration of health, dental, vision, 401(k), and other benefits
- Act as the primary contact for employee benefit inquiries
- Provide clear and accessible benefits education across all locations
Policy Development & Compliance
- Draft, update, and enforce HR policies and the employee handbook
- Monitor and ensure compliance with federal, state, and local employment laws
- Stay informed on evolving regulations and adjust company practices accordingly
HR Operations & Systems
- Maintain accurate and confidential employee records within the HRIS
- Generate reports, support audits, and ensure data integrity
- Collaborate with Finance and leadership to align HR data with business needs
Culture & Communication
- Promote a positive and connected culture across remote and field-based teams
- Coordinate virtual check-ins, engagement initiatives, and internal communications
- Support team-building efforts and employee recognition programs
Leave Management
- Administer and track all leave types, including medical, parental, ADA, and state-specific programs
- Educate employees and managers on leave policies and entitlements
- Ensure compliance with applicable leave laws and documentation standards
Recruitment
- Manage full-cycle recruitment, from job postings to offer letters
- Partner with hiring managers to define role requirements and interview processes
- Ensure a smooth, inclusive, and professional candidate experience
Payroll
- Oversee biweekly payroll processing in coordination with Finance
- Manage wage changes, bonuses, and timekeeping records
- Ensure payroll accuracy and compliance with labor laws
What you need to succeed :
1. Required Qualifications
- 3–5 years of HR generalist experience, preferably in a multi-state or remote setting
- Strong knowledge of U.S. employment law and labor regulations
- Experience in benefits administration, employee relations, and leave management
- PHR or SHRM-CP certification preferred
- Background in healthcare, veterinary, or field-based services is an asset
2. Know-how
- Proficiency with HRIS and payroll systems
- Ability to develop and implement HR policies and procedures
- Skilled in handling confidential employee data and supporting audits
- Familiarity with full-cycle recruitment and onboarding processes
3. Soft Skills
- Strong communication and interpersonal skills
- High level of organization and attention to detail
- Ability to work independently and manage multiple priorities
- Sound judgment, discretion, and a collaborative mindset
- Commitment to fostering a positive and inclusive workplace culture
Working conditions
- 100% on-site position
- Monday to Friday, 8:00 AM to 4:30 PM
