As part of our growth, we currently see an Inventory and Warehouse Coordinator.

Job Description: Inventory and Warehouse Coordinator

Department: Supply Chain

Reporting Relationships:

  • Reports to the Supply Chain Lead (General Manager on interim basis).
  • Senior Material Handler, Receiver, Shipper reports to Inventory Coordinator.

PURPOSE OF ROLE:

The Inventory and Warehouse Coordinator is responsible for overseeing inventory management processes to ensure accurate stock levels and correct stock locations at all times. This role supports the production process by overseeing kitting activities and ensuring materials are prepared accurately and delivered on time in alignment with priorities set by the Supply Chain Lead. The position requires strong attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

The Inventory and Warehouse Coordinator oversee receiving and shipping activities and ensures that warehouse and stock areas are consistently maintained in a clean, organized, and accurate manner. A solid understanding of shipping and receiving procedures is essential, as this role serves as a backup for the Shipper & Receiver position.

KEY RESPONSIBILITIES:

1. Inventory Management:

  • Managing inventory processes to maintain accuracy in stock levels and locations.
  • Monitor and manage inventory levels of raw materials, components, and finished products using SAGE 300 to track stock movements.
  • Conduct regular inventory cycle counts to reconcile physical stock with system records.
  • Lead the year-end inventory count, including planning, execution, reconciliation, and preparation of all required documentation and reports.
  • Collaborates with buyers to replenish non‑stock parts using the Kanban system.
  • Additional tasks may be assigned based on operational needs.

2. Material Preparation & Kitting Process:

  • Adjust kitting priorities in response to shifting production demands and direction from the Supply Chain Lead.
  • Identify and proactively communicate material shortages, discrepancies, or risks that could impact production timelines.
  • Escalate unresolved discrepancies, shortages, or risks to the Supply Chain Lead in a timely manner.
  • Maintain organized kitting and staging areas to support efficiency, traceability, and inventory accuracy.
  • Support the commissioning and implementation of new warehouse or material‑handling equipment, including setup, testing, process alignment, and user training as required.
  • Document, implement, and maintain standard operating procedures (SOPs) related to material preparation, kitting, inventory accuracy, and warehouse processes to ensure consistency, compliance, and continuous improvement

3. Warehouse Management

  • Ensure timely and accurate receiving and shipping of materials to support production and operational priorities.
  • Maintain accurate inventory records through correct system transactions related to shipping and receiving activities.
  • Coordinate shipping and receiving activities in alignment with priorities set by the Supply Chain Lead.
  • Maintain clean, organized, and controlled warehouse and receiving areas to ensure accuracy and efficiency.
  • Identify, escalate, and assist in resolving shipping or receiving discrepancies that may impact inventory accuracy or production schedules.
  • Serve as backup support for shipping and receiving functions as required to ensure continuity of operations.

4. Data Entry and Reporting:

  • Create and update part numbers’ location, BOM (Bill of Materials), and inventory data accurately in the Sage 300.
  • Prepare and distribute inventory reports to Supply Chain Lead, highlighting discrepancies and trends.
  • Analyze inventory data to identify slow-moving items and recommend actions to optimize stock levels.

5. Quality Control:

  • Collaborate with quality assurance teams to ensure that inventory meets the required standards.

Qualifications and Skills:

1. Education: Diploma/bachelor’s degree in supply chain management, Business Administration, or related field preferred.

2. Experience: Minimum of 2 years of experience in inventory management or related roles, preferably in a manufacturing environment.

3. Skills:

  • Proficient in inventory management software (e.g., ERP systems like SAP, Oracle, or similar).
  • Strong analytical skills and attention to detail.
  • Excellent organizational and time-management abilities.
  • Effective communication and interpersonal skills.

4. Physical Requirements: Ability to lift heavy items (up to 50 lbs) and stand for extended periods. Must be capable of performing tasks in a fast-paced environment.

5. Work Environment: The position requires work in a light manufacturing environment, which may include exposure to varying temperatures and noise levels.
