Armstrong Milling Co. Ltd. is seeking a dedicated and detailed-oriented Office Admin person to support our Accounting Team. This role requires general accounting knowledge and experience with Excel spreadsheets. Working hours are 24-32 hours week.
The successful candidate will assist with the administration of Accounts Receivable, Accounts Payable, and other General Office admin duties within the accounting department. Join us and become part of a dynamic team in a stable work environment with excellent opportunities for growth.

We are committed to providing the best possible customer service and products to an ever-growing industry. Operations are based in Hagersville Ontario, and we have been able to provide the Canadian wild bird seed market with our own branded products as well as premium custom-blended packaged caged animal and bird seed products.
Primary Responsibilities Include:
- Maintain, organize, and update corporate files, including SOPs and other department correspondences
- Manage and respond to email communications in a timely and professional manner
- Review employee expense reports and follow up to resolve any discrepancies
- Assist supporting Accounts Receivable and Accounts Payable tasks including completing credit applications and submitting, and review AR and AP aged listings
- Review and approve accounting team vacations, medical and personal days to ensure adherence with both corporate and department policies and guidelines
- Monitor bank accounts and direct intercompany and account transfers and bank payments. Prepare monthly government payment documents for processing
- Other administrative duties and special projects as assigned by VP Finance & IT
Secondary responsibilities include:
- Assist with organizing and maintaining financial records and year end audit files
- Update and review internal spreadsheets, logs, and tracking documents
- Schedule meetings, prepare agendas, and record meeting minutes as needed
- Maintain orderly digital and physical filing systems for easy retrieval and access
- Assist in gathering documentation for audits, payroll updates, and government filings. Provide administrative support to accounting staff, VP Finance & IT
Technical Skills
- Self starter with strong organizational and administrative skills
- Excellent written and verbal communication skills
- Attention to detail and accuracy when reviewing expense reports and financial documents. Follow up and resolve any document discrepancies
- Proficiency in Microsoft Office including Excel and PowerPoint applications
- Strong time-management skills with the ability to handle multiple administrative tasks simultaneously. Strong time management skills
- Experience scheduling meetings, preparing agendas, and recording minutes
Personal Skills
- Ability to work effectively under pressure and time constraints
- Effective communicator with strong time management skills
- Strong analytical and problem-solving abilities with keen attention to detail
- A valid driver’s license and have access to a vehicle
- Strong problem-solving and customer service skills
- Positive attitude toward teamwork and following established protocols
- Prior office admin experience including Accounts Receivable and Accounts Payable support duties
Education:
- High school diploma is required but College or higher education in Business Administration, or Accounting, or a related field is preferred.
- 3+ years of experience office admin experience including Accounts Receivable and Account Payable support roles
Job Types: Part-time, Permanent
Pay: $26.50-$29.50 per hour
Expected hours: 24 – 32 per week
