Office Administrative Assistant

Location: Mount Pearl, NL

Type: Full-Time

Reports To: Office Manager / Owner

We pride ourselves on our craftsmanship, professionalism, and commitment to customer satisfaction. We’re looking for a reliable and organized Office Administrative Assistant to join our team and help keep operations running smoothly.

Position Overview: The Office Administrative Assistant will play a key role in supporting daily office functions, managing customer communications, processing paperwork, and assisting with scheduling and coordination between customers, suppliers, and installation teams. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Answer and direct phone calls, emails, and in-person inquiries in a professional manner
  • Schedule appointments, service calls, and installations
  • Prepare and process invoices, quotes, and purchase orders
  • Maintain organized records of customer files, job orders, and supplier documentation
  • Assist with payroll, time tracking, and other administrative duties as needed
  • Manage office inventory, including ordering supplies and tracking deliveries
  • Greet customers and provide product or service information as required
  • Support marketing and social media efforts, such as updating company listings or posting promotions
  • Ensure the office environment remains tidy and efficient

Qualifications:

  • Previous experience in an administrative or customer service role (construction or trades environment an asset)
  • Proficiency in Microsoft Office (Word, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Attention to detail and accuracy in data entry and documentation
  • Friendly, professional demeanor and positive attitude
  • Ability to work independently and as part of a team

Monday–Friday daytime schedule (no weekends or evenings)

Pay: $21.00 per hour

Expected hours: 37.5 per week
