JOB SUMMARY:
The Office Administrator is responsible for providing administrative support across the organization, facilitating the efficient operation of the office through a range of tasks that support the management team. Tasks will involve managing office systems, including IT and office equipment; maintaining office services, including supplies and vendor relationships; and providing general administrative support.

Supervisory Responsibilities:
  • None.

Essential Job Functions:
  • Performs general administrative duties such as answering phone calls, scheduling meetings, greeting visitors, maintaining office supplies, sorting, and distributing mail.
  • Manages office services by ensuring office operations and procedures are organized and efficient.
  • Organizes office operations, including the purchasing of stationery and equipment, managing filing systems, and overseeing IT infrastructure.
  • Coordinates with IT department on all office equipment and setup.
  • Manages relationships with vendors and service providers to ensure smooth operations.
  • Manages contract and price negotiations with office vendors and service providers.
  • Implements office policies and procedures and ensure they are adhered to.
  • Manages executives' schedules, appointments, and travel arrangements.
  • Coordinates office staff activities to ensure maximum efficiency.
  • Handles customer inquiries and complaints, redirecting or managing these as necessary.
  • Designs and implements filing systems and ensure these systems are maintained and current.
  • Prepares operational reports and schedules to ensure efficiency.
  • Performs administrative tasks such as data entry, filing, and record-keeping.
  • Stays updated with product knowledge to provide accurate information to customers.
  • Performs other duties as assigned.

  • Self-motivated with a results-driven approach.
  • Excellent verbal and written communication skills.
  • Ability to manage budgets, expenses, and negotiate with vendors and suppliers.
  • Proficient in Microsoft Office suite or similar programs.
  • Ability to build relationships and interact positively with employees, management staff and customers
  • Ability to identify issues, address them and provide effective solutions.
  • Skills and ability to handle multiple tasks at once.
  • Ability to maintain compliant with local, state, and federal regulations.
  • Ability to adapt to changes and handle them with professionalism.
  • Strong analytical and problem-solving skills.
  • Ability to maintain confidentiality of conversations, data records, files, and other vital information.
  • Ability to work independently and in a team to meet deadlines.
  • Careful planning, multitasking, excellent time management and customer service skills are critical.
  • Excellent attention to detail and accuracy in recordkeeping.
Education & Certifications:
  • High school diploma or equivalent required.
  • Bachelor’s degree in Business Administration or related field preferred.
Experience:
  • Minimum three years of experience as an Office Administrator, Office Manager or similar role required.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
