Rethink Ireland is looking for a number of energetic, curious, dynamic and eager-to-learn Operations Administrators to join our Operations team.


Contract:
2 years, full-time or part-time, starting as soon as possible

Salary: €30,000 - €34,000 per annum based on experience

Based: Dublin, Cork & Galway - with some travel required within Ireland

Benefits: 23 days annual leave. 8% employer pension contribution, paid time off in lieu and paid sick leave, maternity leave and parental leave following successful completion of probation.


ROLE PURPOSE

The purpose of this role is to support the contracting of our awardees and consultants across our portfolio of Funds. Reporting to the Programmes Manager, the role will include the administration of all awardee and consultant contracts, monitoring our consultant panel availability, collaborating with other project teams and Fund Managers, as well as other project administration tasks to ensure the smooth and efficient running of contracting processes across our fund teams.


While this role sits in the Operations unit it also works across our portfolio of Funds and teams within the organisation.


JOB DESCRIPTION

  • Support our Fund teams to commission their non-financial supports from booking consultants to associated contracting.
  • Support the Programmes Manager to design and update our consultant management system which manages the commissioning of awardee non-financial support budgets.
  • Support the Programmes Manager to coordinate consistent awardee contracting processes and subsequent contracts.
  • Upkeep and maintenance of data in our systems such as Salesforce
  • Assist Fund teams to follow relevant policies and processes consistently and support the Programmes Manager to communicate updates clearly
  • Support the implementation of fund capacity-building workshops where feasible
  • Support other teams with administrative tasks where feasible
  • Be an excellent Ambassador for Rethink Ireland.
  • Undertake training and development as requested.
  • Other duties as assigned by your line manager from time to time.

ESSENTIAL REQUIREMENTS

  • 2-3 years of relevant experience in administrative roles.
  • Proven experience in administrative tasks, such as preparing, reviewing, or proof-reading contracts, policies, and processes, combined with a strong track record of managing tasks and meeting deadlines.
  • Excellent written and verbal communication skills
  • Excellent planning and organisational skills.
  • Computer literate in Microsoft Suite and other cloud-based systems.
  • A high attention to detail.
  • Ability to work collaboratively in a remote team setting.
  • Ability to take initiative, develop and implement your own work plan based on role goals.

DESIRABLE

  • Experience or demonstrable interest in social impact.
  • Experience in using CRM systems like Salesforce.
