Job Overview
We are seeking a proactive and detail-oriented Property Management Assistant to join our dynamic team. In this vital role, you will support the daily operations of property management, ensuring smooth communication between tenants, vendors, and property owners. Your energetic approach and strong organizational skills will contribute to maintaining high standards of property maintenance, tenant satisfaction, and regulatory compliance. This paid position offers an exciting opportunity to develop your expertise in real estate administration while learning a great deal about managing investment properties.

Responsibilities:

  • Assist Property Manager in the set up process of new properties. This involves entering all new data into our software and interfacing with new clients on obtaining the necessary documents (Property Insurance, Management Agreements, Property Information Packets, W-9's, among other items). Our firm uses Appfolio Property Management Software. Experience preferred but not mandatory.
  • Assist with tenant, owner and vendor inquiries via phone, and email with excellent customer service and professional phone etiquette.
  • Coordinate property maintenance requests by liaising with vendors to ensure timely repairs and upkeep.
  • Maintain accurate records of lease agreements, contracts, legal documents, and tenant files in compliance with Fair Housing regulations and landlord-tenant law.
  • Assist in the preparation of legal administrative documents related to evictions, lease amendments, or disputes while adhering to legal standards.
  • Conduct regular inspections of properties using CMMS (Computerized Maintenance Management System) tools to identify issues early and facilitate repairs.
  • Engage in conflict management by addressing tenant concerns professionally and seeking mutually beneficial resolutions.
  • Support the administration of contracts with vendors and service providers ensuring adherence to negotiated terms.

Qualifications

  • Proven experience in property management or real estate administrative roles; familiarity with property leasing processes is highly desirable.
  • Strong knowledge of landlord-tenant law, Fair Housing regulations, Section 8 housing policies, and legal administrative procedures.
  • Proficiency in property management software such as Yardi or OneSite; experience with Appfolio systems is a plus.
  • Excellent customer service skills combined with professional phone etiquette and conflict management abilities.
  • Demonstrated ability to handle multiple tasks efficiently through effective data entry, filing, and office experience.
  • Knowledge of facilities management practices related to property maintenance and repairs.
  • Effective negotiation skills for lease agreements and contract discussions.
  • Ability to work independently while collaborating seamlessly within a team environment.
