Ashwood Glen is a growing Montessori and IB World School dedicated to academic excellence, global citizenship, and exceptional student experience. We are seeking a highly motivated, strategic, and relationship-driven Student Recruitment & Admissions Coordinator to support the school’s enrollment growth, admissions operations, and marketing initiatives.

This role blends recruitment, admissions management, marketing, communications, and relationship-building. The ideal candidate is proactive, organized, and enthusiastic about representing Ashwood Glen to prospective families locally and internationally.

Key Responsibilities

1. Student Recruitment & Outreach

Proactive Outreach & Relationship Building

  • Initiate and maintain personalized communication with prospective families to build strong relationships and increase conversions.
  • Proactively develop partnerships with education agents, consultants, feeder schools, and community organizations to expand Ashwood Glen’s market reach.
  • Lead and participate in local recruitment initiatives, including education fairs, virtual sessions, and targeted outreach campaigns.
  • Actively contribute to meeting annual enrollment targets and supporting retention of new applicants.
  • Engage faculty, staff, and current students as ambassadors during recruitment events and initiatives.

Recruitment Strategy & Planning

  • Develop research-informed recruitment strategies aligned with Ashwood Glen’s enrollment goals.
  • Analyze enrollment trends, forecasting needs, conversion rates, and pipeline health to guide strategic decisions.
  • Conduct market research to identify new opportunities, partnerships, or regions to support future growth.
  • Plan, budget, execute, and evaluate recruitment activities and events.

2. Admissions Management & Operations

Application Processing & Family Experience

  • Serve as a primary contact for inquiries, registration, re-registration, and general admissions questions.
  • Manage the complete admissions cycle, including application review, interviews, family communication, and admissions decisions.
  • Ensure every prospective family receives a warm, seamless, and professional admissions experience.
  • Liaise with Academic Leads to schedule and coordinate student assessments as part of the admissions process.
  • Track assessment outcomes and ensure results are entered into the admissions database accurately.
  • Prepare all admissions correspondence, including offer letters, decision letters and follow-up communication.

System & Data Management

  • Maintain accurate, up-to-date applicant records in school’s Student Information System.
  • Run data queries and produce regular and ad hoc enrollment reports, conversion rates, trend analyses, and event tracking.
  • Track all admissions documents, communications, and interactions to ensure compliance and accuracy.

Event Coordination

  • Organize admissions-related events such as Open Houses, Orientation Days, Information Sessions, alumni receptions, and recruitment fairs.
  • Manage logistics, staffing, communications, and follow-up to ensure high-quality event execution.

3. Communications, Marketing & Promotion

Marketing Collaboration

  • Work closely with the Marketing Coordinator to create compelling recruitment content, including promotional videos, brochures, digital ads, and social media campaigns.
  • Support storytelling that highlights Ashwood Glen’s Montessori and IB programs, student success pathways, school culture, and community values.

Content Creation & Digital Engagement

  • Manage admissions-related social media channels and create engaging, audience-focused content to strengthen Ashwood Glen’s online presence.
  • Write and contribute to blogs, monthly newsletters, and other long-form content that supports recruitment and community engagement.
  • Draft copy for emails, website pages, brochures, and feature stories, ensuring all communications are polished, accurate, and on-brand.
  • Collaborate with the Marketing Coordinator to develop parent communication plans, promotional materials, and program highlights.

4. Events & Community Engagement

Community involvement and Partnerships

  • Identify and pursue opportunities to collaborate with local businesses, community organizations, and partners to enhance Ashwood Glen’s visibility and recruitment pipeline.
  • Attend community events, business networking sessions, and educational fairs—often alongside the School Director—to represent Ashwood Glen professionally and confidently.
  • Build meaningful relationships with local leaders, organizations, and service providers that can support outreach, marketing, and student recruitment efforts.
  • Serve as an ambassador for Ashwood Glen, ensuring consistent, positive, and brand-aligned representation in all community-facing activities.

5. Administrative Responsibilities

  • Support the effective and efficient daily operation of all school office and administrative functions.
  • Monitor and follow up on school emails and phone messages, answering or directing calls from the main line.
  • Provide administrative support for school events, activities, and academic field trips, including logistics and family communication.
  • Maintain and organize shared school Google folders and documentation for the Main Office and Leadership Team.
  • Occasionally make school-related purchases during working hours and support scheduling of additional duties, including late shifts, morning duties, or meetings.

Position Requirements

Education & Experience

  • Bachelor’s degree in a relevant field such as Education, Marketing, Business Administration, or a related discipline.
  • A minimum of ten years of experience in admissions, recruitment, or enrollment management within the education sector—preferably in an elementary school.

Skills, Knowledge & Competencies

  • Mandatory: Prior experience in school admissions.
  • Strong business acumen and a solid understanding of enrollment strategy.
  • In-depth knowledge of the Ontario education system and admissions processes.
  • Exceptional communication and interpersonal skills, with the ability to build meaningful relationships with diverse stakeholders.
  • Highly organized with strong project management skills and keen attention to detail.
  • Data-informed approach, with the ability to analyze, interpret, and report on enrollment trends.
  • Proficient in admissions software, CRM systems, databases, and Microsoft Office Suite.
  • Familiarity with digital marketing tools, social media platforms, and online engagement strategies is an asset.

Job Type: Full-time

Pay: $58,900.00-$63,900.00 per year
