The Role
As our Team Assistant, you’ll provide high-level administrative support to the Chief Member Officer and Chief Operations Officer, who lead our member and employee services functions, and their teams. You’ll support efficient daily operations by managing diaries, coordinating meetings, preparing regular reporting, handling communications and assisting with project delivery.
What you'll do
Manage diaries and coordinate meetings and appointments.
Respond to enquiries, emails, meeting invites and other communications on behalf of executives, as needed.
Draft, edit and format correspondence, reports, presentations, and other documents using agreed NGS formats and branding.
Meeting management, including logistics, room booking, venue bookings, catering, and IT setup both internal and external., as well as prepare agendas, take minutes, and follow up on action points.
Coordinate Team Events, social functions and support Charity events.
Manage various administrative tasks, including expense processing, travel arrangements and itineraries and training requirements and filing.
Assist in the planning and execution of projects and initiatives.
Liaise with internal departments and external stakeholders as required.
Ad-hoc duties as required, including all aspects of office management.
About You
Organised, adaptable and collaborative, you’ll build positive relationships, manage changing priorities and contribute actively to the Administrative Support Team.
You'll bring:
Experience in administration or executive support, along with the confidence to work independently in a busy office
Intermediate to advanced Microsoft 365 skills, particularly Teams and SharePoint
Experience arranging corporate travel through a provider such as ATPI
Experience coordinating events, including venues, catering and invitations
Strong time management, initiative and responsiveness in a fast-paced environment.
The following skills are nice to have but not essential:
An understanding of the financial services industry, particularly superannuation
Experience using project and productivity tools
Experience preparing reports and presentations
Familiarity with tools such as AI, ClickUp, Notetaker and Microsoft Planner.
A certificate, diploma or tertiary qualification in business administration or a related field.
Discretion in handling confidential information and the competence to maintain professionalism in all interactions and communications is critical.
