Position Summary
The Payroll Officer is a part-time, largely standalone role responsible for the accurate and timely processing of all payroll activities, ensuring full compliance with statutory requirements and internal policies. The position requires a high level of ownership, independence and accountability, with the ability to manage the payroll cycle proactively and with minimal supervision.
The role supports the effective management of employee data across payroll and HR systems, provides accurate reporting and meaningful insights, and acts as a key point of contact for employee payroll queries. Working closely with Finance and HR, the Payroll Officer contributes to continuous process improvement, maintains the highest level of confidentiality when handling sensitive information, and supports the delivery of efficient, compliant and commercially sound people operations.
Office-based working will be required during the probation period to support effective onboarding, training and integration into the role.
Duties and Responsibilities
- Process fortnightly and monthly payrolls accurately, including calculations for commission, pensions, BIK, VHI, PRSA, and other deductions/benefits.
- Review and accurately record all timesheets and time & attendance data.
- Maintain and update payroll and HR systems, ensuring all employee records (new joiners, leavers, and changes) are accurate and up to date.
- Develop and maintain payroll-related databases to support efficient processing and reporting.
- Prepare and deliver payroll and management reports in a timely and accurate manner.
- Identify and implement process improvements to enhance efficiency, accuracy, and compliance.
- Reconcile payroll reports (e.g. PAYE, PRSI, USC, pensions) and investigate any discrepancies promptly.
- Ensure full compliance with Revenue, statutory reporting, and audit requirements, including maintaining appropriate audit trails.
- Process Social Welfare forms and related submissions.
- Manage payroll-related payments via online banking systems.
- Respond promptly and professionally to employee queries, including providing clear and accurate payroll and tax information.
- Ensure payroll data is handled in line with GDPR and strict confidentiality standards.
- Work closely with Finance and HR to ensure alignment on employee data, costs, and reporting.
Essential Skills and Abilities
- Strong technical knowledge of payroll systems and Irish payroll legislation (PAYE, PRSI, USC).
- High level of accuracy and attention to detail, with strong numerical ability.
- Excellent organisational skills with the ability to manage multiple priorities and meet strict deadlines.
- Advanced IT skills, including proficiency in Excel and payroll/HR systems.
- Strong analytical and problem-solving skills, with the ability to identify and resolve discrepancies.
- Effective communication skills, with the ability to explain payroll and tax matters clearly to employees.
- High level of integrity and discretion, with a strong understanding of confidentiality and GDPR requirements.
- Collaborative approach, with the ability to work effectively with Finance, HR and external stakeholders.
- Adaptable and proactive, with a continuous improvement mindset.
- Strong customer focus, ensuring a responsive and professional service to employees.
