We are seeking a highly organized and proactive Administrative Assistant to join our team. This individual will be the backbone of our office operations—managing administrative tasks, assisting with client communication, and supporting our real estate agents and management team.
Key Responsibilities
- Office Administration & Coordination
- Manage day-to-day administrative operations, including answering phones, responding to emails, and greeting clients.
- Maintain an organized digital and physical filing system for client records, agreements, and transaction documents.
- Assist with scheduling meetings, showings, and team events.
- Coordinate courier services, mail handling, and office supplies.
- Real Estate Transaction Support and deal paperwork
- Prepare, review, and manage real estate documents such as listing agreements, offers, and closing paperwork.
- Track transaction deadlines and coordinate with lawyers, lenders, and clients to ensure smooth closings.
- Assist agents with uploading listings and marketing materials to MLS and other platforms.
- Marketing & Social Media Assistance
- Support in creating basic social media content for listings and brokerage promotions.
- Help prepare brochures, open house flyers, and presentation materials.
- Update the brokerage website and online listing platforms as needed.
- Client & Agent Support
- Act as a point of contact for client inquiries and provide excellent customer service.
- Assist with onboarding new agents, preparing welcome packages, and managing office communications.
Qualifications & Skills
- Previous administrative or office coordination experience (real estate experience is an asset but not required).
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Familiarity with real estate platforms is a plus but not mandatory.
- Ability to work independently and as part of a team in a fast-paced environment.
- Professional, friendly, and customer-focused demeanor.

Job Type: Full-time
Pay: $18.00-$20.00 per hour
