Job Title: Reception Manager
Job Type: Permanent, Full-Time (40 hours per week)
Salary: $60,000-$70,000 annually (commensurate with experience)
Benefits: Extended Health Care benefits and RRSP contributions after one year of employment; Two weeks paid vacation
Work Location: In person

Position Summary

The Reception Manager is responsible for leading the Reception Team and ensuring that the front desk functions smoothly, efficiently, and with a strong patient-focused approach. This role requires strong leadership, organization, and communication skills, as the Reception Manager oversees daily operations, staff performance, and supports workflow across the clinic.

The successful candidate will ensure that the reception area consistently upholds the high standards of service and care expected at Galen Eye Centre.

Key Responsibilities

Leadership & Staff Oversight

  • Provide daily leadership, coaching, and support to reception staff.
  • Oversee staff scheduling, attendance, training, and performance.
  • Foster a positive, collaborative, and professional team environment.
  • Ensure team members uphold the clinic’s values and service standards.
  • Conduct staff reviews

Reception Operations

  • Oversee the check-in and check-out process for all patient appointments.
  • Ensure accuracy in payment collection and administrative documentation.
  • Manage phone operations, call flow, and patient communication standards.
  • Monitor appointment scheduling, patient reminders, and processes.
  • Ensure timely routing of emails, faxes, tasks, reports, and medical records.

Workflow Coordination

  • Identify and address operational challenges, implementing solutions to improve efficiency and patient experience.
  • Work collaboratively with administrative, diagnostic, and clinical teams to maintain smooth and coordinated clinic operations.
  • Support policy and process development across the reception department.
  • Work collaboratively with Leadership team and General Manager

Administrative Support

  • Ensure the accurate preparation and management of reports, forms, invoices, and billings.
  • Maintain consistency and accuracy in documentation and patient records.
  • Support the implementation of new processes as needed.

Required Skills and Qualifications

  • Strong leadership and team-building abilities.
  • Excellent organizational and time-management skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Outstanding interpersonal and communication skills.
  • Ability to maintain professionalism and a patient-focused environment at all times.
  • Proficiency with computers and EMR software (Mac/Windows platforms).
  • Strong attention to detail and a proven record of reliability and attendance.

Preferred Qualifications

  • Post-secondary education in Health, Dental, Business, or Administration preferred.
  • Minimum of two years experience in a supervisory or leadership role, ideally in a healthcare or high-volume office setting.
  • Experience managing front desk or customer service teams is an asset.
